Job Description

Key accountabilities

• Provide day-to-day administrative support to the Humanitarian Team, including contracts, human resource coordination, coordinate international travel, information management, humanitarian staff tracker in Camps;
• Coordinate effectively with Awards and Finance, Admin, IT, Safety and Security and Operations units as necessary, ensuring the timely completion of administrative tasks assigned (especially during emergency responses);
• Organize and manage the inductions for new members of camp based staff;
• Coordinate process and flow of documents in the Camp based staff, including but not limited to signature/clearance, including letters, contracts/agreements, checks and financial documents, procurements, invoices for payment, advances, and personal loans and to obtain additional background information on these documents from relevant sections in camps and in the sub office, Sittwe and/or programmes as necessary;
• Coordinate, develop and maintain a system for hard copy files for relevant in-coming documents;
• Coordinate with SCI HR and Admin teams and with SC members to organize deployments and short-term visitors, including providing all documentation required;
• Maintain strict compliance with confidentiality on documentation and information in the area of responsibilities;
• Support international staff in the process of moving in/out of the camps in Sittwe township;
• Perform other related duties as required by the Regional support Manager.

EXPERIENCE AND SKILLS

• At least 4 years’ experience in related field.
• Bachelor Degree
• Strong English communication skills, both written and verbal
• Excellent personal organisational skills, including time management, and ability to meet deadlines and work under pressure
• Willingness to travel to IDPs’ camps in Sittwe and Pauktaw townships and work in difficult environment according to travel requirements
• Strong people management skills and proven ability to create an environment which encourages team-working and motivates a team.
• At least 1 year of management experience at officer or similar level.
• Ability to work collaboratively with colleagues across the organisation developing effective working relationships to deliver outstanding results for children
• Commitment to and understanding of Save the Children’s aims, values and principles.
• Willingness and capability to comply with all relevant Save the Children policies and procedures with respect to health and safety, security, equal opportunities and other relevant policies, including the Child Safeguarding Policy
